Go to bookbeez.webbeez.com/register and fill in three things — your business name, your email address, and a password. That's it. No long forms, no documents, no credit card.

Use your salon or clinic's exact business name — this is what your customers will see on your booking page.

Step two

Add your services with prices and durations

After logging in, go to Services in the left menu. Add each service you offer — give it a name, set the price in rupees, and set how long it takes. You can also group services into categories like "Hair", "Skin", "Nails".

Add categories first (e.g. Hair, Skin, Nail) then add services under each category. This makes your booking page easy to browse.
Be accurate with duration — if a hair colour takes 90 minutes, set 90. This prevents double bookings in the calendar.
You can add as many services as you want — there's no limit.
Services appear automatically on your public booking page the moment you save them.

Step three

Add your staff and set their working hours

Go to Staff in the left menu and add each team member. Enter their name, the services they can perform, and set their working days and hours. This is how BookBeez knows when a slot is available for booking.

If you work alone, just add yourself as the only staff member.
Each staff member can have different working hours — e.g. Senthil works Mon–Sat 9am–6pm, Kavitha works Tue–Sun 10am–7pm.
You can assign specific services to specific staff — e.g. only Senthil can do Keratin treatment.
You can mark individual days as off (holidays, leave) from the staff schedule page.
BookBeez will never show a booking slot when a staff member is off or already booked.

Your booking page is live — share it everywhere

The moment you added your services and staff, your booking page went live at yourname.webbeez.com. Customers can open it on any phone or computer and book an appointment themselves — without calling you.

Instagram: Go to Edit Profile → Website → paste your booking link. Add "Book online 👇" to your bio.
WhatsApp: Put the link in your WhatsApp Status description and pin it as a message in your broadcast groups.
Google Business Profile: Add the link as your website or under "Book" button in your Google listing.
Posters: Print your booking link as a QR code and stick it at your reception desk.
Customers pick a service, choose a staff member, select a date and time, enter their phone number and name, and confirm — all in under 2 minutes.

Manage all your appointments from the dashboard

Every booking made online appears instantly in your BookBeez dashboard. You can see today's appointments, view the week ahead, create walk-in bookings, confirm or cancel appointments, and add notes for each customer.

The Dashboard home shows today's appointments and key stats the moment you log in.
The Calendar view shows a week at a glance with columns for each staff member — just like a real appointment book.
Click any empty slot in the calendar to quickly create a walk-in booking without the customer going through the booking page.
Click any booking to see the full details, change the status (Confirmed → Completed), add staff notes, or send the customer a payment link.
You can manage BookBeez from your phone — the dashboard works on any mobile browser, no app needed.

Set up WhatsApp reminders to eliminate no-shows

Go to Settings → Notifications and connect your WhatsApp Business account. Once connected, BookBeez automatically sends a confirmation message when a customer books, and a reminder message X hours before their appointment.

You need a free Meta Business account to enable WhatsApp messages. We guide you through the setup step by step — it takes about 10 minutes.
Set the reminder timing to match your salon — most salons use 2 hours before. If customers travel far, try 4 hours.
Use the Send test message button in settings to verify everything is working before going live.
WhatsApp reminders use the official Meta Business API — not a third-party tool. Messages come from your own WhatsApp Business number.
Salons using WhatsApp reminders see up to 80% fewer no-shows. It's the most impactful feature in BookBeez.

Step seven

Accept payments and generate GST invoices

BookBeez is connected with Razorpay — India's most trusted payment gateway. You can send a payment link to any customer via WhatsApp, and they can pay by UPI, debit card, credit card, or netbanking in seconds.

Go to Settings → Billing to connect your Razorpay account. You need a free Razorpay account — sign up at razorpay.com.
From any booking detail page, click Send payment link to WhatsApp the customer a payment request instantly.
Go to Invoices in the menu to generate a professional GST invoice for any booking — one click, then print or send via WhatsApp.
You can also mark bookings as paid by cash if a customer pays in person — so your records stay accurate.
All payments go directly to your Razorpay account and settle to your bank account within 2 working days.

Track your business with reports and analytics

Go to Reports in the left menu to see how your business is performing. View revenue by day, week, or month. See which services are most popular, which staff members are busiest, and what time of day you get the most bookings.

Use the date range filter to compare this month vs last month — see if revenue is growing.
The peak hours chart shows when customers book the most — use this to plan staff shifts.
The top services list shows what's making you the most money — consider promoting those more on Instagram.
Click Export CSV to download all bookings for your accountant or for GST filing.
Reports update in real time — check them every morning to see yesterday's performance at a glance.

The moment you add your first service and staff member, your booking page at yourname.webbeez.com goes live. Share the link and your first customer can book immediately.

Connect WhatsApp reminders
Set up your Meta Business account and connect WhatsApp in Settings → Notifications. Send a test message to your own phone to confirm it's working. From now on, every booking gets an automatic confirmation and reminder.

Connect Razorpay for online payments
Sign up for a free Razorpay account and connect it in Settings. You can then send payment links to customers via WhatsApp and generate GST invoices with one click.

Common questions

Questions about getting started

How long does it take to set up BookBeez completely?

Most salon owners complete the full setup — services, staff, schedule, and WhatsApp — in under 30 minutes. The booking page itself goes live in about 5 minutes. WhatsApp setup takes 10–15 minutes if you've never used Meta Business before.

What happens if a customer books at a time my staff is unavailable?

BookBeez only shows slots that are genuinely available. If Senthil is already booked at 11am or it's his day off, 11am simply won't appear as an option on your booking page. Double bookings are not possible.

Can I still take walk-in customers and phone bookings?

Absolutely. BookBeez is not just for online bookings. You can create a booking manually from your dashboard for any walk-in customer or phone call. Just click the time slot in the calendar or use the "New booking" button. It all goes into the same system.

Do I need a computer or can I manage everything from my phone?

Everything works on mobile. Your dashboard, calendar, customer list, reports, and settings all work perfectly in a mobile browser. No app download needed. Most salon owners manage BookBeez entirely from their phone.

What if my customer doesn't know how to book online?

The booking page is designed to be as simple as possible — it works like ordering food on Swiggy. Select a service, pick a time, enter name and phone, confirm. Most customers who've used any smartphone app can figure it out in under 2 minutes. For older customers, you can always create the booking yourself from the dashboard.

What happens after my 14-day free trial ends?

After 14 days, your account moves to the paid plan at ₹399/month. You'll receive an email before the trial ends with payment instructions. If you choose not to continue, your account is suspended — no charge is made automatically. All your data is kept safe for 30 days in case you change your mind.
